Accounting Coordinator

SUMMARY: The Accounting Coordinator, under the supervision of the Director of Finance, is responsible for managing local financial transactions, reconciliations, and contract-related fiscal tracking. This position performs a variety of accounting tasks, including invoice preparation, journal and ledger maintenance, and preparation of financial records and reports. The Accounting Coordinator also supports audit and monitoring activities, ensuring accuracy, compliance, and timely processing of financial data in accordance with organizational policies and funding requirements.

DUTIES AND RESPONSIBILITIES:

Financial Processing & Reporting

  • Adhere to the mission, values, and standards of SERCO in all financial operations.
  • Prepare and submit monthly invoices, expenditure reports, and variance reports to the Workforce Board in accordance with required timelines.
  • Process and reconcile related costs in advance of monthly invoicing, including credit card payments, travel expenses, and other allowable costs.
  • Prepare, correct, and post recurring journal entries to the general ledger, ensuring proper documentation in compliance with corporate policies and procedures.
  • Maintain assigned general ledger accounts and prepare reconciliation reports to ensure accuracy and completeness.

Compliance & Cost Allocation

  • Work in coordination with the Finance Manager to ensure strict adherence to the cost allocation plan in accordance with corporate policies and applicable government regulations.
  • Conduct internal contract desk reviews to ensure compliance with budgetary and contractual requirements.

Audit & Monitoring Support

  • Assist in preparing for and supporting internal and external monitoring reviews and audits by providing required documentation, responding to inquiries, and resolving discrepancies.
  • Collaborate with program and finance staff to address and resolve audit findings or monitoring concerns in a timely manner.

Budget Preparation & Analysis

  • Assist in preparing budgets and budget revisions, analyzing financial performance against approved budgets, and preparing actual-to-budget forecasts.
  • Provide timely and accurate financial data to support decision-making by management.

Financial Analysis & Problem-Solving

  • Generate financial reports and statements, research and resolve discrepancies, and distribute accurate information to appropriate stakeholders.

Other Duties

  • Perform additional accounting and finance-related tasks as assigned to support the Finance Department and organizational goals.

Education and Experience:

  • Bachelor’s degree from an accredited four-year college or university in Accounting, Business Administration, or a related field; CPA or Master’s degree preferred.
  • Four (4) years of experience in general accounting, auditing, fiscal management, and/or government accounting, preferably in the nonprofit sector.
  • Knowledge of Generally Accepted Accounting Principles (GAAP) and other applicable accounting standards and procedures.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting software; knowledge of MIP preferred.
  • Strong interpersonal skills with the ability to communicate effectively and build professional relationships with employees, auditors, and external partners.
  • Ability to manage multiple priorities, shift focus quickly, and maintain accuracy and professionalism under deadline pressure.
  • Strong organizational skills and the ability to work independently while meeting strict deadlines.
  • Excellent verbal and written communication skills.
  • Willingness to work a flexible schedule, including evenings or weekends as required.

SPECIAL REQUIREMENTS:

  • Must possess a valid Texas Driver’s License and provide automobile liability insurance as required by the State of Texas.
  • Must have access to reliable transportation in order to make required visits.
